Information for Students: Departing | Currently Abroad | Returning

Before you depart, please be sure you have:

Obtained credit approval through your academic advisor, including filling out and submitting the "Permission to Take Courses Elsewhere" form. Keep a copy for your files!

Submitted a copy of your study abroad program acceptance letter to the Education Abroad Office (non-VT programs only).

Verified your health insurance information and submitted the Health Insurance Certificate to the Education Abroad Office. Also, consider purchasing insurance for personal liability, property loss, trip cancellation, etc. Be informed of health and safety issues in the country abroad.

Submitted other required forms to the Education Abroad office: 1) Emergency Contact Form, 2) Program Liability Agreement, and 3) Authorization for Release of Information.  We cannot release any information to your loved ones without the latter form on file.

Received your passport and visa. Make two copies of the picture page of your passport. Leave one copy with your parents. Take the other copy with you abroad, and store it separate from your passport.

Made all payments to Virginia Tech or your sponsoring institution or program.

Met with your financial aid advisor, and completed, signed and submitted the Study Abroad Documentation Form (if applicable).

Arranged your Virginia Tech registration for the time you will be abroad. Do not sign up for Virginia Tech courses for the semester you will be abroad unless you are attended a Tech-run program. If you have signed up, fill out a withdraw form from the Registrar's Office.

Planned out your courses with your academic advisor for the semester you return, so that you have less to think about when online registration rolls around.

Made arrangements for room and board (when applicable). Submit all necessary paperwork to your host institution abroad for housing. Notified Virginia Tech Residential & Dining Programs of your plans to leave and/or return to on-campus housing. Alternatively, secure off-campus housing for your return semester at VT or find a student to sublease while you are abroad.

  Purchased your airfare.

Attended the Pre-Departure Orientation held at Virginia Tech by the Education Abroad Office. You must inform the Education Abroad Office if you cannot attend, because you need forms and information from this event.

Had a physical, dental checkup, eye examination, inoculations, etc. Pack all medications, prescriptions, extra eye contacts, saline solution, etc. for the entire duration away. For more information, visit the Center for Disease Control.

Left your international address with our office, you academic advisor, and your parents.

Organized money for your travel; bought an international calling card. Additional calling cards can usually be purchased cheaper in the host country.

Ensured that one parent holds a valid U.S. passport in case of an emergency. Arrange for power of attorney (as needed).
